Terms and Conditions

Please review our terms and conditions carefully. We make every effort to work with our clients to ensure a smooth travel experience, and that includes reasonable terms and conditions to travel. 

PAYMENTS, CANCELLATIONS AND REFUNDS

To reserve space for any RaceQuest event, a per-person deposit is required, typically in the amount of $500. All deposits are non-refundable and non-transferable.

After your booking is requested, your credit card will be charged and a confirmation email of receipt will be sent to you. The balance of your trip will be charged in up to two separate installments, depending on the tour. Please review each tour or camp's terms regarding due dates for your final balance. Your final balance can be paid at any time prior to the due date. Travel insurance is strongly advised to mitigate any possibility of financial loss in the event you are unable to attend any event you have booked through us.

Cancellations are very costly for international travel and usually do not occur in time for re-sale of the cancelled accommodation and services. If cancellation is received in writing to RaceQuest Travel on or before the final deadline given for each trip, the non-refundable, non-transferable deposit ($500 per person) will be retained and additional payments you have made will be refunded to you. For cancellations received on or after the final due date given for each trip, a 100% cancellation fee will apply. Leaving a trip in progress, for any reason whatsoever, will not result in a refund, and no refunds will be made for any unused portions of a trip. No refunds will be given for unused hotel rooms, meals, sightseeing trips, or other tour arrangements. 

After making a reservation, the participant will receive confirmation of trip deposit via email. All pre-trip information, invoices, insurance information, a detailed Traveler Questionnaire (including a Release From Liability Agreement that you must agree to upon booking), and other information needed to prepare for the trip will be provided to you through your online booking and confirmation email. Final itinerary details will be sent to each client prior to departure in the form of a printed and/or PDF RaceQuest Tour Guidebook.

DELAYS AND COST INCREASES

We will not be responsible for providing any reimbursement for delays in the trip due to bad weather, transportation delays beyond our control, or government intervention. Regarding all transfers, it is the responsibility of all athletes and guests to be at the communicated meeting place at the appointed time whenever shuttle or transfer services are indicated. We will not provide any reimbursement for any services offered but not utilized by the client, including transfers. While we will do everything possible to maintain our listed prices, if it is necessary to levy a surcharge, we reserve the right to do so, and notification will be given prior to final invoicing.

TRAVEL INSURANCE

Trip cancellation insurance is available at an additional cost and is strongly recommended. If you need a referral for trip cancellation insurance, please visit www.travelinsurance.com to obtain multiple estimates. There are some policies that allow for refund if you or a family member become ill or injured prior to your trip, while others offer a “cancel for any reason” option. Please do due diligence and choose a plan that suits your situation. For more information, you may also contact us with an email to racequesttravel@gmail.com. We also recommend World Nomads as a resource to help cover your trip investment. Their “Explorer Plan” offers generous coverage and reimbursement for all non-refundable tour and travel expenses in the event you become injured or too ill to make the trip. SINGLE TRAVELERS

All of our accommodations (hotels, cabins, guest houses, apartments, condominiums, tents, etc.) are based on double occupancy, as noted in our brochures ("Twin Share" or "Double Occupancy" meaning a maximum of 2 adult travelers per room). If the participant prefers single accommodations, he/she must pay a single supplement fee, which is noted and included in the Single Occupancy pricing and in the stated tour materials. If the participant is traveling alone and wishes to share accommodations, we can assign him/her a roommate upon written request. If there is no one with whom the participant can share, he/she will be required to pay the single traveler, single occupancy fee.

Partner companies you see on our website and in our materials have been vetted personally by RaceQuest founders during their travels. While we offer links to these endorsed and vetted partners, RaceQuest is not liable or responsible for any engagement, booking, interaction or transaction you may have with a recommended external partner or resource. Please refer to the instructions, terms and conditions of our partners for the policies that govern their services. Vetted partners may include race organizations, air carriers, bike and luggage shipment services, medical travel insurance, luggage, sports equipment, apparel, nutritional supplements, private properties, hotels, resorts and attractions.

ITINERARY CHANGES

The itineraries, staff, and services presented in this website and our promotional materials (brochures, emails, and social media notices) are subject to modification and change.

RaceQuest LLC reserves the right, without penalty, to make changes to a published itinerary whenever, in our judgment, conditions warrant, or if we deem it necessary for the comfort, convenience, or health and safety of all participants.
